Best appointment setting companies in 2026

Four of the nine companies here (CIENCE, SalesRoads, Callbox and Belkins) publish a price or price range for appointment setting, and CIENCE and SalesRoads also state a month-to-month or no-commitment term. EagleRev gives the clearest meeting definition: you set what counts as qualified and no-shows do not count. We ranked all nine on what a buyer can verify from each vendor's own pages, because we have not run any of these programs.

Tibexa publishes this ranking and sells outbound services, so it is a vendor in this market. Every entry was checked against the linked sources on October 18, 2026.

How we chose and ranked these companies

Tibexa publishes this list and sells meeting-booking systems itself, so it appears as one entry, placed by the same checks as the others. We read each company's own website on 18 October 2026. We did not call any of them, buy from them or read their reviews, so this list cannot tell you whose SDRs book the most meetings. Every number attributed to a company is that company's own claim.

Appointment setting means someone else books sales meetings with your target buyers, usually by phone and email. The ranking uses five checks. Does the site say plainly what is sold and who does the booking? Does it publish a price or pricing model? Does it state contract length and how to exit? Does it say how a meeting is counted, such as booked, held or qualified? Does it state limits or who it is not for? Companies that publish a price or price range come first, then those that publish only a pricing model, then those that publish neither. Within each group the order follows how many of the other four checks the company's own pages answer.

We left out Martal Group, whose site refused our requests with an access-denied error. For wider shortlists, see B2B lead generation agencies and cold email agencies, or the comparison of an outbound agency and an in-house SDR team.

CIENCE

Best for B2B teams that want a staffed SDR program with a per-SDR price and reporting on held meetings. CIENCE sells outsourced SDR teams that book meetings by cold call and cold email, and its homepage says it reports held meetings.

Its pricing page lists a $2,000 monthly campaign team fee, a $499 monthly platform fee, and SDRs from $1,750 (offshore), $2,500 (Europe) or $3,500 (US) each per month. SDRs earn a bonus when they hit a monthly held-meeting target, and a one-time setup fee has no amount shown. It says the term is month to month and a campaign goes live in under 14 days.

The homepage says to expect 5 to 20+ qualified meetings a month per SDR, depending on industry and target, and does not call that a guarantee. It describes the performance element as a commission per held meeting, while the pricing page calls it a bonus, so ask for the formula in writing. SalesRoads

Best for teams that want dedicated phone and email SDRs billed as a program, with the price visible up front. Its products are outbound appointment setting and market-research lead generation.

Its pricing page lists prices for each 4-week period: $11,950 for one SDR, $16,750 for two, $23,500 for three, $30,150 for four, $36,700 for five and $43,150 for six. It says there is no long-term commitment and you can cancel at any time, and that a team launches 15 business days after kickoff. Every program includes a playbook, 500 prospect records per SDR per month, CRM integration, a live dashboard, and call recording and coaching.

Inbound appointment setting and account reactivation are add-ons. The homepage lists case-study headlines such as 937 appointments for one client, which are SalesRoads' own claims, and its pricing page recommends a 12-week program before you decide. Callbox

Best for companies that want a multi-country, multi-language appointment setting program from a large provider. Its range covers appointment setting, outsourced SDRs, B2B lead generation, account-based marketing, event and webinar marketing, and multilingual SDR teams for APAC, EMEA, LATAM and North America.

Its homepage publishes no prices and says pricing varies with campaign scope, target market and engagement model. A Callbox article on appointment setting pricing cites what it calls Callbox's published estimate of $16,000 to $32,000 a month per campaign pod, on a minimum one-quarter contract.

Callbox says it was founded in 2004 and that results depend on industry, audience and message alignment. It states no performance guarantee. Source: Callbox homepage and Callbox pricing article, checked 18 October 2026.

Belkins

Best for companies that want one vendor across email, calling and LinkedIn and a stated annual appointment range. The core product is omnichannel appointment setting, with dedicated SDRs booking meetings onto your calendar and sending reminders about 24 hours and 1 hour before each call.

Its homepage says it delivers 100 to 400+ qualified appointments in a year, footnoted as average yearly outcomes that depend on multiple factors. Its appointment setting page shows an average starter price of "from $5,000" with 1,500 leads a month, three outreach channels and "100 guaranteed appts/year". It does not define the guarantee or say what happens if the number is missed, and the billing period for the $5,000 is not stated on that line.

No contract length is published. For most CRMs, its page says, integration is basic, with deeper automation only for HubSpot. Source: Belkins appointment setting and Belkins homepage, checked 18 October 2026.

EagleRev

Best for sales-led teams with spare closing capacity and deals worth $10k+ in lifetime value that want a fixed-length trial. The product is a 45-day sprint of LinkedIn and email outreach in which a trained caller phones interested replies, qualifies them and books them onto your calendar, plus an optional ongoing service called Pipeline Coverage.

Full pricing is sent in writing before the strategy call. The page says the sprint is a one-time payment with no recurring charges, no hidden per-meeting fees and no 6-month lock-ins. It says a meeting quota goes in the contract, that it keeps working for free until the quota is hit, and that you define "qualified" in good faith with no-shows not counting. You must approve messaging within 48 hours and attend the booked meetings.

Its LinkedIn side uses its own tool, InMailer.ai, and dedicated, ID-verified profiles that you approve. LinkedIn's help page says it does not permit third-party software that automates activity on its site, so ask who carries that risk. SalesHive

Best for teams that want a US-based SDR team on a flat monthly fee and can accept a vendor that declines to promise a meeting count. The service covers sales strategy, list building, email outreach, cold calling and appointment setting.

Its pricing page describes one flat monthly fee that covers the SDR team, a strategist, its platform and data, with no setup fees and no dollar amounts. Its Starter, Growth and Crush plans differ in channels, SDR count and daily touches, from phone only with 100+ touches to two SDRs with 500+. Plans run month to month, and annual plans cost less per month with a longer commitment of unstated length. You owe nothing until you approve launch.

SalesHive says it does not guarantee a number of meetings. It commits to the daily outreach volume in your plan, weekly strategist tuning and access to your own login. Its homepage reports meetings for three clients over three to four years as recorded bookings, which the page says are not attendance or closed revenue. Tibexa

Best for B2B companies with a proven offer and capacity for 20+ sales calls a month that want meetings booked by an email-led system they own. Tibexa designs, builds and runs outbound systems, including automation of lead qualification, routing, follow-up and scheduling. We do not sell a standalone calling team.

Clients own the infrastructure, data and copy, with no lock-in, and we judge success by booked meetings. Our planning benchmarks are 2 to 3 percent of sends replying, 15 to 50 percent of replies positive, and 30 to 50 percent of positive replies booking. In one engagement a PR and brand agency booked 130+ meetings, with 24 in the first 12 days and 35 in month one (case study). For Fema Tape, 850 firms were contacted in month one and 37 meetings followed over two months (case study).

Pricing is not published. We are a poor fit for pre-product startups, B2C companies and anyone who wants leads without sales follow-through. Source: Tibexa's own pages on automation and cold email systems, checked 18 October 2026.

Leadium

Best for companies that want both outbound appointment setting and inbound lead qualification from one provider. The services are appointment setting, data sourcing and inbound lead qualification, across outbound email, cold calling, LinkedIn prospecting, gifting and marketing events.

No prices are published. Its pricing page is a contact form that asks you to pick a budget band, from $2,500 to $3,500 up to above $10,000. Those are form options, not Leadium's prices. No contract terms or guarantees appear.

Its figures are inconsistent across the site: the homepage cites 500+ clients in one place and 1,500+ sales organizations in another, and 97 clients acquired in one place and 76 in another. Ask which numbers it will put in writing. Source: Leadium homepage and Leadium pricing page, checked 18 October 2026.

Cleverly

Best for teams that want appointment setting alongside LinkedIn and email and are willing to get pricing on a call. The service is done-for-you B2B outbound across LinkedIn lead generation, cold email, cold calling, appointment setting and outsourced SDRs.

No prices or contract terms appear on its site, only an offer of a free strategy call. Its homepage shows case-study results such as 41 meetings booked in three months for one client, which are Cleverly's own claims with no method stated.

The homepage gives more than one client count (1,000 active clients in one place, 5,000+ clients in another), and one case-study block still holds placeholder text. Ask for a client list you can call. Source: Cleverly homepage, checked 18 October 2026.

What to check before you sign

Write down what counts as a meeting. CIENCE says it reports held meetings, EagleRev says no-shows do not count and you set the definition of qualified, and SalesHive's published case figures are recorded bookings. Those are three different units, so agree one in the contract and ask for the show rate.

Ask who owns the lists, call recordings and sending domains if you leave, and whether outreach runs under your brand. If the provider also sends cold email for you, Google's sender guidelines require bulk senders (5,000+ messages a day to Gmail) to authenticate with SPF, DKIM and DMARC and to support one-click unsubscribe, and they tell senders to keep the spam rate in Postmaster Tools below 0.10 percent and never reach 0.30 percent (Google). The FTC's CAN-SPAM guide says the law makes no exception for business-to-business email and requires opt-outs to be honored within 10 business days (FTC). Rules differ outside the US, and this is not legal advice.

Plan who takes each booked call and how replies are handled; our reply handling playbook covers both.

Questions

How much does appointment setting cost?

Published figures here run from CIENCE's SDRs at $1,750 to $3,500 a month each, plus team and platform fees, to SalesRoads' $11,950 per four-week program for one SDR. Callbox's own article cites $16,000 to $32,000 a month per pod. Several companies publish nothing.

Do appointment setters guarantee meetings?

Rarely in clear terms. SalesHive says it does not guarantee a number. Belkins shows 100 guaranteed appointments a year at its starter price without defining the guarantee, and EagleRev says its contract carries a quota and free work until it is met. Read the clause.

What counts as a qualified meeting?

It depends on the contract. CIENCE reports held meetings, EagleRev lets you define qualified and excludes no-shows, and SalesHive's published figures are recorded bookings. Agree one definition and a show rate in writing before you sign.

Is a booked meeting the same as a sales opportunity?

No. A booked meeting is a calendar entry, and many never happen or never qualify. Ask for held meetings and for what share become opportunities in your own CRM.
