Smartlead vs Instantly: plans, limits and which one fits

Smartlead and Instantly both send cold email from unlimited connected mailboxes with built-in warm-up, so the choice comes down to how each one charges and how it handles clients. Smartlead charges by contacts and monthly sends and sells white-label client access as an add-on. Instantly charges by uploaded contacts and monthly emails too, but runs each client as a separate workspace with its own subscription. A single sales team can use either one; an agency running many client campaigns should read the client section first.

Tibexa publishes this comparison and sells outbound services. Facts about other companies come from the linked sources, checked on October 18, 2026.

Plans and pricing as published

All vendor figures in this article were checked on 18 October 2026 on the vendors' own pages, in US dollars. Tibexa is an agency, and Smartlead is one of the tools we use in client work, so weigh our view with that in mind.

Instantly lists "Unlimited Email Accounts" and "Unlimited Email Warmup" on Growth and Hypergrowth. For Light Speed and Enterprise the page shows no mailbox limit either way. Instantly also sells a separate credits product for lead data and three bundles that combine sending with credits (Starter $94, Scale $194, Agency $555 a month on monthly billing).

Both pages contradict themselves in places, so confirm at checkout. Instantly's bundle section lists a "Hypergrowth Plan" at $358, while its outreach list puts Hypergrowth at $97 and Light Speed at $358. Its credit plans appear at different prices in two sections, and the Hypergrowth card carries a line about 5,000 Instantly Credits that does not match the rest of that card. The page also never says what the credits are spent on, although the FAQ mentions the Lead Finder. On Smartlead's page, "Unlimited" for contacts on the Smart and Prime plans is undefined. Prime says it includes 3 SmartServers, while the SmartServers section sells them at $39 a server per month. Ask each vendor's support in writing what the unlimited tiers exclude.

The vendors' own headline numbers are company claims: Smartlead says it is trusted by 100,000+ businesses, and Instantly says 50,000+ sales teams have switched to it. The units differ (businesses against sales teams), so the two numbers do not compare.

Sending limits, inboxes and warm-up

Neither vendor publishes a hard cap per mailbox in the pages we read. Both publish recommendations, and the mailbox providers set the actual limits. Smartlead's API documentation gives 20 to 30 emails a day for a new SMTP account, 50 to 100 for a warmed SMTP account after 30 days of warm-up, and 50 a day each for Gmail and Outlook, described as the providers' recommended limits. Instantly's help center recommends 30 campaign emails per account per day, or 20 for its AirMail mailboxes, and sets a campaign limit of accounts multiplied by 30.

The two tools treat warm-up differently. In Smartlead, warm-up and campaign sends share one daily limit. Its guide gives an example of a 40 a day limit split into 15 warm-up emails and 25 campaign emails, with warm-up shrinking as campaign volume grows. In Instantly, the help center says warm-up emails do not count toward the account or campaign limits.

Instantly's help center says every warm-up setting is pre-filled with recommended values and advises keeping the defaults. It also lists advanced options such as weekdays-only mode, read emulation and spam protection, without stating their defaults.

A quick illustration, using our own arithmetic. Twenty mailboxes sending 30 emails a day over 22 business days is 13,200 sends a month. On a four-email sequence that is about 3,300 new contacts a month. Smartlead Base (6,000 sends, 2,000 contacts) is too small for that, and Pro fits. Instantly Growth (5,000 emails) is too small, and Hypergrowth fits. At our planning benchmark of 2 to 3 percent of sends replying, 13,200 sends is roughly 260 to 400 replies a month, before list quality moves it either way. One engagement in our work, the AI feedback SaaS, ran 1,000+ emails a day across multiple inboxes. At 30 a day per mailbox that needs about 34 mailboxes, and the mailboxes and domains cost money on top of the sending subscription. Our infrastructure setup playbook covers how we plan them.

The two vendors count contacts differently ("contacts" on Smartlead, "uploaded contacts" on Instantly), and neither page defines the term fully. Confirm how duplicates and re-uploads are counted before you size a plan.

Deliverability and inbox placement tools

Both vendors sell a placement-testing feature, and neither help page states a price for it. Smartlead calls its feature SmartDelivery. Its help center describes manual tests and automatic tests that run daily or weekly, a SpamAssassin check by default, an optional link checker, and a seed list it says has "over 50 addresses". It adds that a limit applies to the selected sender accounts based on the subscription plan, without giving the numbers. Smartlead's homepage also claims dedicated-tenant infrastructure and IPs (SmartInfra), and its course material mentions a unique rotating IP for each campaign. Those are company descriptions, not tested results.

Instantly's Inbox Placement help article says the feature supports only Gmail and Microsoft. It checks content for spam triggers, tests SPF, DKIM and DMARC, and monitors IPs and domains against 94 blacklists (another Instantly page says "more than ninety", so the count is loose). One Inbox Placement subscription covers unlimited tests for unlimited accounts, and the page mentions two free one-time tests in total. Automated tests can trigger actions such as pausing campaign emails when placement falls below a threshold you set.

Instantly's pricing page also mentions a "Private Deliverability Network" without defining it, and footnotes "SISR System" as "Server & IP Sharding and Rotation" on the Light Speed plan. If either of those matters to your decision, ask what it includes.

A seed test reports where mail landed for test addresses, not for your real prospects. We treat it as a smoke alarm that tells us to look closer, then check bounces and replies on live sends. Our deliverability playbook and the warm-up and deliverability tools list go further.

API and integrations

Instantly publishes more numbers here. Its API v2 uses a bearer token with scopes. The rate-limit page states 100 requests per second and 6,000 per minute, shared across API v1 and v2, and applied to the whole workspace even if you use several keys. It recommends batching calls and waiting 2 seconds between batches. Webhooks cover campaign, email, lead and meeting events, and the API also manages sub-workspaces from an admin workspace.

Smartlead's documentation uses an API key passed as a query parameter against server.smartlead.ai/api/v1/. On limits it says only that they vary by subscription plan and to contact support, and that exceeding them returns a 429. It documents webhooks for campaign events. Smartlead's homepage names HubSpot, Salesforce, Pipedrive, Clay and Listkit as integrations, plus Zapier, Make and n8n, and advertises an MCP connection with "170 actions". Instantly's homepage names no specific integrations.

Both pricing pages list API and webhooks as features without a usable per-plan value in what we read. Check which plan includes API access before you build around it. If you automate with n8n or a CRM sync, a published request limit makes capacity planning easier, and Smartlead will need an answer from support first.

Clients, teams and support

Smartlead has a Client Access dashboard. An agency adds a client with a name, company, email and password, chooses which Master Inbox categories that client sees, and allocates email and lead credits per client. Its white-label page says you can run the entire app under your own domain, branding and logo, offer reply-only access, and resell Smartlead on your own billing cycle. The pricing page says whitelabel is a $29 a month add-on per client workspace, that adding clients is available from the Pro plan onward, and that Prime includes 3 clients or workspaces. The help articles do not state plan requirements, and the Base plan's client limit is not stated anywhere we looked.

Instantly uses separate workspaces. The help center says each workspace has its own campaigns, contacts and analytics, needs an active Outbound plan to create, and requires its own subscription. One login covers all of them. An email account can be connected to one workspace at a time, and leads, campaigns and statistics cannot be shared between workspaces. Inviting team members requires a Hyper Growth or Light Speed Outbound plan, or a CRM plan. Roles are Owner, Admin, Editor and View/VA Access, and access cannot be limited to specific campaigns inside a workspace. Workspace Groups let an admin workspace manage sub-workspaces that share the Hyper Credits and Inbox Placement plans, but the help center says you cannot see consolidated data across them.

On support, Instantly's page lists chat support on Growth, premium live support on Hypergrowth, and a dedicated account manager with a shared Slack channel on Enterprise. Smartlead's page has rows for a dedicated manager and a private Slack channel, but their per-plan values did not come through in our read, and SmartServers carry a $39 a server per month add-on with 24/7 priority support. Check support terms in writing before you rely on them.

An agency running many client campaigns should price the client model first. Here is an illustration from the published prices, with ten clients on monthly billing, each needing a Growth-sized allowance, and assuming Pro has no cap on client workspaces (the pages do not say). On Smartlead, one Pro plan ($94) plus ten whitelabel workspaces at $29 comes to $384 a month, with contacts and sends pooled and allocated per client. On Instantly, ten separate Growth subscriptions at $47 come to $470 a month, each with its own 1,000 contacts and 5,000 emails. The result moves as soon as your clients differ in volume or you need Instantly's team roles, and Smartlead's client terms need confirming. On published structure alone, Smartlead is built more directly for the agency case.

A single team running one outbound motion has an easier call. At 13,200 sends a month the plans cost about the same, so decide on the details that bite: whether you want lead data from the same vendor (Instantly sells credits for it), which placement tool you will pay for, and whether you need a published API limit.

If you are comparing more than these two, our cold email software list covers the wider field, and Clay vs Apollo covers the data layer that feeds either tool. If you would rather have the system built than choose between tools, see our cold email systems service, where clients own the accounts and the data.

Questions

Is Smartlead or Instantly cheaper?

On monthly billing the entry plans are $39 for Smartlead Base and $47 for Instantly Growth, but the allowances differ. At about 13,200 sends a month, Smartlead Pro is $94 and Instantly Hypergrowth is $97, as published on 18 October 2026.

Do Smartlead and Instantly limit how many mailboxes I can connect?

Smartlead says all plans include unlimited email accounts. Instantly lists unlimited email accounts on Growth and Hypergrowth and shows no limit either way on its higher tiers. Mailbox providers still cap daily sending, and both vendors recommend roughly 30 to 50 emails per mailbox per day.

Which is better for an agency with many clients?

Smartlead publishes a client dashboard with white-label access and per-client credit allowances at $29 a month per client workspace. Instantly requires a separate subscription for each client workspace. Confirm the client add-on terms with Smartlead, because the pages do not fully state plan requirements.

Do both tools have an API?

Yes. Instantly publishes API v2 limits of 100 requests per second and 6,000 per minute per workspace. Smartlead says its API limits vary by plan and tells users to contact support.
